BASCA Privacy Policy

You can download our privacy policy here.

This website uses cookies
This site uses cookies to enhance your browsing experience. We use necessary cookies to make sure that our website works. We’d also like to set analytics cookies that help us make improvements by measuring how you use the site. By clicking “Allow All”, you agree to the storing of cookies on your device to enhance site navigation, analyse site usage, and assist in our marketing efforts.
These cookies are required for basic functionalities such as accessing secure areas of the website, remembering previous actions and facilitating the proper display of the website. Necessary cookies are often exempt from requiring user consent as they do not collect personal data and are crucial for the website to perform its core functions.
A “preferences” cookie is used to remember user preferences and settings on a website. These cookies enhance the user experience by allowing the website to remember choices such as language preferences, font size, layout customization, and other similar settings. Preference cookies are not strictly necessary for the basic functioning of the website but contribute to a more personalised and convenient browsing experience for users.
A “statistics” cookie typically refers to cookies that are used to collect anonymous data about how visitors interact with a website. These cookies help website owners understand how users navigate their site, which pages are most frequently visited, how long users spend on each page, and similar metrics. The data collected by statistics cookies is aggregated and anonymized, meaning it does not contain personally identifiable information (PII).
Marketing cookies are used to track user behaviour across websites, allowing advertisers to deliver targeted advertisements based on the user’s interests and preferences. These cookies collect data such as browsing history and interactions with ads to create user profiles. While essential for effective online advertising, obtaining user consent is crucial to comply with privacy regulations.

Background

BASCA is a member’s organisation for operators of self-catering properties in the Bath area. BASCA also uses the style ‘Bath Self Catering’ on its website and in other marketing information.

BASCA is registered with the Information Commissioners Office (ICO) as a data controller, the registration number is ZA054771.

BASCA collects, processes, and stores two categories of personal data:

  1. Membership Data. We collect contact information, including names, email addresses and telephone numbers of members and those enquiring about membership.
  2. General Public. Via its website, BASCA offers an enquiry service to the public that allows enquiries to be made to a BASCA member via a contact form. BASCA stores the name, email address, telephone number and any travel dates required.

Lawful Basis

BASCA collects, processes, and stores personal information using the following lawful basis for this activity:

  1. Membership data is collected, processed, and stored to facilitate the operation of a membership organisation.
  2. Members of the public who make an enquiry via the Bath Self Catering website are asked for specific consent to forward their enquiry to the relevant member. Without this consent the information is not collected, and the enquiry is not forwarded to the member. A record of all enquires made to the Bath Self Catering website is retained to support administration of BASCA (to create analytics data relevant to the enquiry system).
  3. A member of the public may also explicitly consent for their information to be circulated amongst the membership if the original member is not able to accommodate them. It is the responsibility of the member to ensure that information about an enquiry is not forwarded if the enquirer has not given this consent.

Data Retention

BASCA only retains data for as long as it is needed to fulfil its purpose of collection:

  1. Membership data is retained for as long as the member concerned remains a full or associate member of BASCA.
  2. Membership enquiry data is retained until the enquirer becomes a member, in which case the data becomes member data. If the enquirer does not pursue membership of BASCA following their enquiry, the member enquiry data is deleted after six months.
  3. Public enquiry data is retained within the website. It is the responsibility of the BASCA member to delete the enquiry data once the enquiry has been handled. However, irrespective of member action, enquiry data is automatically purged six weeks after the date of the enquiry.

Cookies

The BASCA website makes limited use of cookies:

  1. For members, a cookie is used to store login data (an encrypted token) to simplify the interface for members. This cookie will expire after two weeks.
  2. For all other users a small number of cookies are used to facilitate the use of the site and support the property search function. These cookies do not contain any personal data, just the details of any search that is made. These cookies expire either when the site is exited or within a few hours. Website users may choose to exclude these settings by changing the settings of their web browser; the website may not perform optimally if this is done.
  3. The BASCA website use Google Analytics to collect information about site usage. Google Analytics stores information in cookies; more information about the use of cookies by Google Analytics is available from: https://www.google.com/intl/en/policies/privacy/. Website users may opt out of Google Analytics: https://tools.google.com/dlpage/gaoptout .

Sharing Personal Information

All information collected by the website from the General Public is used to provide the search service used by the website and facilitate communication with BASCA members.

BASCA only shares your information with members and does not share any information with third parties.

BASCA member information may be shared with directly affiliated organisations (e.g. PASC, Visit Somerset) to further the aims of the affiliation. BASCA member information is shared with affiliated organisations on the basis that it is not shared with any third parties.
